5. Masspike financial Policies regarding Cancellations, Refunds and Credits
5.1 Masspike Summer Camp Financial Policy a. $75 of each 3-5 day camp session fee is nonrefundable. Partial refunds will be given if written cancellation notice is received by June 15 of the summer camp season. AFTER June 15, NO refunds or camp credit for cancelled sessions will be given, even for injuries, illnesses or family emergencies, before or at camp. We are willing to reschedule the camper to a different camp session this summer, if a space is available. b. With director's permission, you can transfer the session spot to someone else, of similar gender and experience level. There will be a $30 processing fee to transfer the session spot to another player and you will need to collect payment from them. c. While we often get requests, after an injury or illness, to reconsider this cancellation policy, we cannot. Masspike financial commitments, to the gym, the staff and equipment vendors, are made based on the application numbers registered. Consider buying cancellation insurance to protect your camp fee losses due to cancellation.
5.2 February Vacation Clinic Financial Policies. a. Before Feb 1, partial credits for Feb vacation session cancellations will be given, if written notice is received, The partial credit will consist of the application cost minus the nonrefundable $50 deposit portion of the fee. There will be NO camp credit for cancelled sessions if request is not received before Feb 1, even for injuries before or at camp. b. The Cost of the Feb Vacation clinics for 3 or 4 day attendees are the same. Therrefore, If one day's session is cancelled due to weather, no refund will be granted since the cost of a 4 day clinic is the same as 3 days. If a second weather cancellation day occurs, the $60 for the 2nd cancellation day will be refunded to campers signed up for the 4 days clinic. If a player signed up for 3 days or less has one day cancelled due to extreme weather, they can make up their cancelled session on another day that week, if room allows that. In 2017 there is limited vacation gym space so no full make up date is available for scheduling. Other years when a makeup session is scheduled,. no refunds will be granted to those who cannot attend the scheduled makeup session.
5.3 One Hour Private/Small Group Lessons Financial Policies a. Full payment (cash preferred) for each 1 hour lesson will be made at the gym before the session. If you fail to make payment (forget cash/check, do not show up, or cancel), you give permission, by signing these terms and conditions, to charge the small group lesson fee to your credit card on file. b. Credit card account information will be required with the application as a back up payment method, unless a written exception is granted upon request. c. An acceptance/session status email should be sent to your email on file a few days after the application is submitted. If you do not receive this status email, it is your responsibility to contact Masspike Volleyball (firstname.lastname@example.org) to inquire about your status. Sometimes a longer timeframe is needed to create a small group appropriate for the applicant. Once a player is accepted into a session, you are financially obligated to pay for it with the methods stated in a. or b. above d. CANCELLATIONS AND MONEY OWED i. These 1 hour sessions have limited space and once you are accepted into a 1 hour small group lesson, you are financially obligated to that lesson. If you cancel a 1 hour group lesson, in writing or by email, (for summer sessions by July 1, for Fall sessions at least 8 days before the scheduled 1 hour session) then a charge of $15 per 1 hour lesson cancelled will be charged to your credit card account. After those deadlines,, if you cancel, you will owe the full session fee and that fee will be charged to your credit card. (regardless of the reason) ii. At the discretion of the Masspike Director, If there is session space and staffing availability, a player may change into a different (same season) small group lesson without any additional fees. iii. With written permission of the Masspike Director, the applicant, that needs to cancel, can find an equivalent replacement (same age, gender, skill level). That replacement would need to fill out a full application on line and supply required medical forms. A small fee may be charged for this replacement process.
5.4.Fall Combo Clinic Financial Policies a. Credit card account information will be required unless a written exception is granted upon request b. You give permission for your credit card accounts to be billed for full payment for Combo Clinics stated on the application. Full payment is required at time of enrollment. Half of that payment is refundable if a written cancellation notice is received at least 7 days before the start of the first of 5 Sunday Fall Combo Clinic Series. c. If there is availability in a different clinic or lesson in that fall lesson series, the director may allow for a change or date within the fall series. d. Participants who need to cancel and will not receive a refund, may find an appropriate replacement for themselves. The replacement cannot be enrolled before the cancellation and must get all appropriate paperwork submitted online prior to the session. That replacement can then refund, the enrollee who is cancelling.
5.5 Exceptions for our Financial/Cancellation Policies may be made between the Participant and the Camp Director, before the Participant applies, on a case by case basis. The director will consider special circumstances such as possible high school team conflicts, uncertain recovery from existing injuries, etc. If no other agreement is made before the application, Standard Masspike policies will apply 5.1, 5.2, 5.3. 5.4.
6. PROGRAM PROTECTION INSURANCE OPTION (probably used more for summer options - min premium $35)
1.Optional Individual Camp Cancellation Insurance [/b] is now being offered thru Campminder (Masspike's online registration company) through their coverage partner TripMate. This is an optional insurance for parents to insure coverage in case of a qualifying event. This option is available at the time of application. Before enrolling prices and details will be presented. Fees for this insurance range from about 5-7.5% of your camp session cost, depending on whether you want limited coverage (medical/emergency reasong) or cancellation for any reason. Before you submit your application for insurance coverage, the fee will be calculated for you based on your session selection so you have the price before deciding. That cancellation policy will be issued and the fee will be collected by TripMate. Masspike will have nothing to do with that policy other than to offer the service option on the applicaiton.
7. MA Board of Health Certified: Masspike Volleyball Camp is certified by the MA Board of Health. We will provide you with a copy of our camp policy handbook upon request.
